Configure the HRIS Widget

(New) Configure the HRIS widget in Appspace to show employee HR data on the Intranet homepage. This article is for IT administrators who connect a certified HR system and place the widget on an Employee Experience theme. After you complete these steps, employees can view their own time off or pay in the Appspace Intranet without opening the HR system separately.

Important: The HRIS widget is in limited release. Appspace (WXI) certifies each customer tenant before wider rollout. Validate the first go-live jointly with Appspace before you place the widget for all employees.



Prerequisites

  • Appspace Intranet on a current plan (Public Cloud or Private Cloud).

  • A Limited Release certified HR system with API access: UKG Pro, SAP SuccessFactors, BambooHR, or Workday. Required modules depend on the HR system. See Supported HRIS Widget Platforms.

  • An integration system user in the HR system, supplied by customer IT. This user is not a named employee account.

  • Outbound HTTPS from Appspace. No on-premises agent, firewall change, or VPN is required. Nothing is installed in the HRIS tenant.

  • A console role other than User to open Integrations and create a Passport.

  • Account Owner role, or Publisher with channel manager permission, to add the widget to an Employee Experience theme.

Note: Appspace provisions the Merge connection and certifies the tenant. Do not treat Merge account provisioning as a customer console step. You still create the Appspace Passport in the console.


Connect the HR System

The widget reads through a Merge linked account. Reads are scoped to the signed-in employee by email address. Data refreshes on a regular schedule. The widget does not mirror the HR system live and has no offline or cached view.

  1. Confirm that your HR system is Limited Release certified and that the modules you need are licensed. See Supported HRIS Widget Platforms.

  2. In the HR system, create the integration system user and grant API access for the data the widget displays.

  3. In the Appspace console, click the ☰ Appspace menu, select Integrations, and open the Passports tab.

  4. Click Add. If no passports exist, click Create Passport.

  5. Select UKG Pro, SAP SuccessFactors, BambooHR, or Workday.

The console creates the Passport and connects the account. A Connecting to message appears until the connection finishes.

Note: You cannot create a Passport from the widget configurator. Create and connect the Passport on the Passports page first.

Add the Widget

  1. Log in to the Appspace console.

  2. Click the ☰ Appspace menu and select Settings > Configuration.

  3. Click the Employee Experience tab, then click Themes.

  4. Select the theme for the location, or create a theme.

  5. Expand Widgets, select a column, and click +Add.

  6. Under Advanced, select HRIS.

The widget editor opens. The picker adds one HRIS widget to the theme.

Note: The console places the HRIS widget on homepage themes only. Community, topic, and channel widget pickers do not include it.

 

Configure Widget Settings

  1. In Passport, select the connected HRIS Passport.

  2. If both time off and payroll are available, turn Show Time Off and Show Payroll on or off. At least one must stay on.

    Note: The available display options depend on the HRIS platform selected:

    • For Workday and SAP SuccessFactors, you can configure the Payroll and Time Off tabs.
    • For BambooHR, the widget displays Time Off information directly.
  3. Optionally set Max Items (1 to 20). The default is 3.

  4. Click Apply and save the theme.

The widget appears on the Employee Experience homepage for users in that theme location. If the HR system provides only time off, the payroll switch does not appear. For BambooHR, payroll is not available.

Note: Pilot with one group first, then roll out. A widget certified against a test tenant can differ from a live customer environment in configuration, fields, and permissions.
