Page and Story Templates provide reusable starting points for creating consistent Pages and Stories in Appspace. This article is for IT administrators and communicators who need to understand when templates appear, who can manage them, and how Active and Inactive status affects content creation. After reading, you can choose a template or start blank, and know where to manage templates in the library.

How It Works

Page and Story templates live in the Templates library under Posts > Templates. Each template is created for one content type: Page Template or Story Template.

When you create a Page or Story, Appspace opens the Select a template screen before the editor. The screen displays active templates that match the content type you are creating. You can search the available templates, select a template card, or click Start Blank.

Selecting a template applies its starting content and layout and opens the standard authoring experience. You then edit, preview, and publish the new Page or Story through the normal workflow. Templates are optional. Start Blank remains available when a reusable structure is not needed.

Creation Entry Points

You can start Page or Story creation from the global Create menu and from supported spaces. Each entry point opens the same template-selection experience before the editor. For a breakdown of channels, topics, and communities, see Know Your Spaces: A Breakdown of Channels, Topics, Communities.

Page creation is available from:

  • Create > Page in the global navigation.

  • New page in the Pages section of a Community.

  • New page in a Topic.

Story creation is available from:

  • Create > Story in the global navigation.

  • New story in the Stories section of a Community.

  • New story in a Channel.

 

Template Types

A Page template provides a reusable starting structure for Page content. Typical uses include policies, employee handbooks, onboarding information, department landing pages, and documented processes.

A Story template provides a reusable starting structure for Story content. Typical uses include company announcements, event announcements, new-hire updates, initiative communications, and strategy updates.

The template selector keeps the two types separate. A Page template does not appear during Story creation, and a Story template does not appear during Page creation.

 

Permissions and Scope

The following roles can manage templates in the Templates library:

  • Account Owner

  • Location Publisher

  • Space Publisher

Account- and location-level roles are granted through the Users module. Space-level permissions are granted through Space Settings for a Community or Topic where Pages or Stories can be created. For more information, see Appspace Intranet User Roles and Configure Communities in Console.

Community and Topic owners can create templates for their own spaces. A space-specific template is available within the associated Community or Topic.

 

Template Status and Availability

Templates use two statuses:

  • Active: The template appears on the Select a template screen for its content type and permitted scope.

  • Inactive: The template remains in the Templates library but is not available during Page or Story creation.

Newly published, duplicated, and imported templates begin as inactive. A template must be enabled before communicators can select it when creating content. Disabling a template hides it from the template selector without removing it from the library.

 

Common Use Cases

Organizations can use templates to:

  • Give new content creators an approved starting structure instead of formatting from scratch.

  • Keep recurring announcements and updates visually consistent.

  • Provide Community- or Topic-specific starting points for content created in those spaces.
