Drop In Visitor Duration

Is it possible to set the duration for “all day”? Example - an employee who forgets their ID badge checks in as a drop in guest. The duration they select only goes to 6 hrs. That employee tried to check out when they left for the day (beyond the six hours) and got an error message. Can they check out after their duration ends?

@kbannis yes - you can set a longer “all day” style duration by increasing the resource’s Max Duration rule (so it’s not limited to 6 hours).

Once the booking is created, the guest can also extend the reservation from the reservation details (Places → Reservations → select the reservation → Extend).

So they should be able to check out after their duration ends, as long as the reservation is still active (or they extend it first).

I see that drop-ins are allowed as well as multiple check in/check out actions. But I’m not sure where to find the max duration rule. Is it reservations > settings > general > reservation duration? That is set to 1hr.

I’ll give you an example...we had visitors scheduled 10-4pm but they left at 5:30 and got a “no results found” when they tried to check out.

@kbannis you’ll find Max Duration inside the resource’s settings in the Appspace console.

Steps:

  • Go to Reservations → Resources.
  • Search for and open the specific resource (for example, the desk or room you’re using for drop-in guest check-ins).
  • Open the Rules tab.
  • Set Max Duration to the length you want (this is what controls the maximum length of a single booking).

Quick note: changing this rule won’t affect bookings that already exist until someone updates that reservation.

Hi Dawn - I was able to do this and set it for 1 day. We are finding that a visitor can check out within a certain time period past their end time but if it’s too far they can’t check out.  I do have technical support helping us with this but wanted to follow back with you. Thanks for your help.
