Learn how to use the Reservations Calendar widget in Appspace to monitor and manage reservations across multiple workspaces. This article is for Concierge users, and for employees who see the widget on a Space canvas. After you finish, you can view Timeline and Calendar layouts, filter reservations, create or edit bookings, assign labels, and reschedule with drag and drop.

Note: Who this article is for: Concierge users with Events Read access, and employees who see the widget on a Space, Community, or Topic. Steps marked (Admin only) require Account Owner or Location Admin access. This widget is not the Signage Event Calendar widget and is not the classic Concierge dashboard calendar.
Prerequisites

Concierge access with Events Read on at least one location. Without it, the widget does not appear in Employee View.

Workspace resources configured for reservations at the locations you manage.

(Admin only) Account Owner or Location Admin access to add the widget to an Employee Experience theme, Space, Community, or Topic.

(Optional) Reservation Labels enabled in Reservations settings when you assign or change labels. See Configure Reservation Labels.
Add the Reservations Calendar Widget
Complete these steps if the widget is not already on Home or on a Space canvas. (Admin only)

Log in to the Appspace console.

Click the Appspace menu, then select Settings > Configuration.

Click the Employee Experience tab, then click Themes.

Open the theme for the location.

Expand Widgets.
-
Select the column, click +Add, and select Reservations Calendar under Workplace.
The Reservations Calendar configuration panel opens. You can add more than one Reservations Calendar widget.

Configure the fields described in the next section, then click Apply.

Click Save on the theme.
To change a Home widget later, open its ellipsis menu and select Edit or Delete. Drag the handle on the left to change the display order.
Note: You can also add Reservations Calendar from Add Widget on a Space, Community, or Topic under Workplace. Prefer Theme or Community / Topic Settings when you need to edit widget settings. Editing the widget directly on a Space canvas may not open the configuration panel.
Configure Widget Scope and Display
Set which resources appear and how the widget looks. (Admin only)
Location and Workspaces

In the configuration panel, select one or more buildings under Location, or leave the field empty for a broader search.

Select a Workspace Types value, or leave All workspace types.
Options are All workspace types, Rooms, Spaces, Points of Interest, and Connected Resources.

Under Workspaces, search and select the resources to show. Select at least one workspace before you apply. You can select up to 50 workspaces.
Changing Location or Workspace Types refreshes the Workspaces list. When no location is selected, the widget does not auto-load a default set of workspaces.
Optional Scope Filters
Use these fields to limit which reservations load for Concierge users. All support multi-select unless noted.

| Status | Limits reservations by status values from Concierge, such as Active, Confirmed, Completed, Cancelled, or Deleted. |
| Labels | Limits reservations to selected reservation labels configured in Reservations settings. |
| Checkpoints | Limits to checkpoints valid for the selected location and workspaces. |
| Services | Limits to services filtered by the selected checkpoints. |
| Menus / Forms | Limits to menus or forms filtered by the selected services. |
Layout and Height

Under Desktop Layout, select Calendar or Timeline. The default is Calendar.

When Desktop Layout is Calendar, select a Default View: Day, Week, or List. The default is Day. Timeline always shows a day grid.

Under Height, select Fit content or Fixed. Fit content is the default.

When Height is Fixed, set Web Height and Mobile Height in pixels as needed.
Display Options
-
Enter a widget title (up to 30 characters). Use the language control to add translations when needed.

Turn Show widget title on or off.

Turn Widget Border on or off. The border is on by default.

Turn Full Width Layout on when the host layout supports a full-width widget.

Under Display Options or Style, choose the container style for feed hosts when those controls appear.

Click Apply, then save the theme or Space settings.
View Reservations in Timeline or Calendar

Open Employee View and go to Home, or open the Space, Community, or Topic that contains the widget.

Find the Reservations Calendar widget. The heading matches the title your administrator set. If the title is hidden, the calendar still appears.
On a wide layout, Calendar shows Day, Week, or List. Timeline shows resources as rows and time as columns, with a current-time indicator for today. On a narrow width, the widget can switch to a compact reservations list.
Use Header Controls

Select the previous or next control to move by day or week, depending on the active view.

Select the date label or date picker to jump to a date. Select Today when you need the current day.

In Calendar layout, use the view switcher to choose Day, Week, or List.

Type in Search reservations to find reservations by text in the current range.

Select Expand calendar to open the widget in a larger pop-up. Select View all when a week cell shows overflow reservations.
Filter Reservations

Open the filter control in the widget header.

Adjust Location, Workspace Types, Workspaces, Status, Labels, or Checkpoints as needed.

Select at least one workspace before you apply filters.

Apply the filters.
The calendar refreshes to show matching reservations. Runtime filters follow the same scope rules as the admin configuration panel.
Create and Manage Reservations
Card actions respect your Concierge permissions. Edit, Cancel, and Change Label appear only when your role allows them.
Create a Reservation

In Timeline or Calendar Day view, select an empty time slot on a reservable resource, or use the create reservation shortcut when it appears.

Complete the reservation details in the panel that opens.

Save the reservation.
The new reservation appears on the calendar. Create is available only on reservable resources.
Open and Expand a Reservation Card

Select a reservation card to expand it or open reservation details.
-
Review the title, time, resource, attendees, and label when shown.
Edit, Change Label, or Cancel

Open the more actions menu on the reservation card.

Select Edit to change reservation details in the Concierge reservation panel.

Select Change Label to assign or change a reservation label when Labels are enabled. Choose a label from the list.

Select Cancel to cancel the reservation when your permissions allow it.
Note: Change Label appears only when reservation labels are enabled and at least one label exists. View-only Concierge users cannot save label changes. Automatic and bulk label assignment are not available.
Reschedule with Drag and Drop

Drag a reservation card to a new time or resource on Timeline or Calendar Day or Week view.

Drop the card on a valid target.
The reservation updates to the new time or resource when the drop is valid. Some multi-day or off-slot placements may not drag the same way as single-day bookings.
