Configure Reservation Labels

Configure Reservation Labels in Appspace to categorize reservations with colored labels for Concierge and the Reservations Calendar. This article is for Account Owners and Location Admins who manage labels in Reservations settings. After you finish, Concierge users can assign those labels when labels are enabled.

Note: Reservation Labels are separate from Concierge permissions. This article does not cover automatic label rules or bulk label assignment.



Prerequisites

  • Account Owner or Location Admin access to the Appspace console.

  • Access to Reservations for the location where you manage settings.

 

Open Labels Settings

  1. Log in to the Appspace console.

  2. Go to Reservations.

  3. Click the Settings tab.

  4. Click Labels.

The Labels page opens. The page title is Labels, with a short description of how labels support reservation workflows.

 

Enable or Disable Labels

  1. On the Labels page, turn Enable labels on or off.

When Enable labels is on, Concierge users can assign labels, and labels can appear on the Reservations Calendar. When Enable labels is off, labels are hidden on the Reservations Calendar, label assignment is unavailable in Concierge, and you cannot add, edit, delete, or reorder labels until you turn the setting back on.

Note: In the empty state, if Enable labels is off, Add Label is disabled.

 

Create a Reservation Label

  1. On the Labels page, click Add Label when the list is empty, or click Create when labels already exist.

  2. In the Create Label dialog, enter a unique Name (up to 25 characters).

  3. Select a Color.

  4. Optional: Enter Notes for other administrators.

  5. Optional: Turn on Set as default if this label should be the default for new Concierge reservations.

  6. Click Save.

The dialog closes, the new label appears in the list, and Appspace shows a success message. Only one label can be the default. If you set a new default, it replaces the previous default.

Color options are Blue, Teal, Green, Yellow, Orange, Brown, Red, Pink, Purple, and Gray.

Note: Label names must be unique. Duplicate names show Name already in use. Matching is not case-sensitive, and leading or trailing spaces are trimmed. You can create up to 30 labels. When the limit is reached, Create is disabled and the tooltip shows You've reached your maximum number of labels.

 

Edit, Reorder, or Delete Labels

When labels exist, the list shows each label name, notes, and a Default badge when applicable. The record count appears next to Create.

Edit a Label

  1. Open the actions menu for the label.

  2. Select Edit.

  3. In the Edit Label dialog, update Name, Color, Notes, or Set as default.

  4. Click Save.

Change the Default Label

  1. Open the actions menu for the label.

  2. Select Set as default, or select Remove as default if the label is already the default.

The Default badge updates on the list. Default means this label is the default option in the Concierge label field when labels are enabled.

Reorder Labels

  1. Drag a label by its drag handle to a new position in the list, or open the actions menu and select Move to top or Move to bottom.

The new order is saved for how labels appear in Concierge and related pickers.

Delete a Label

  1. Open the actions menu for the label.

  2. Select Delete.

  3. Confirm Delete Label?

Deleting a label also removes it from reservations that used that label.
