If you're using Appspace AI, you may wonder what happens to your prompts, responses, and conversation history after your session ends.
Short Answer
Appspace AI temporarily caches your conversation for up to one hour to maintain context during an active chat session. After that period, the session data is automatically deleted. Your prompts and responses are never used to train AI models and are not retained outside your Appspace environment.
How Appspace AI Handles Your Data
Appspace AI is designed to provide helpful, contextual responses while protecting your organization's information.
You may be wondering:
- Are my AI prompts stored?
- Are AI responses retained?
- Is conversation history saved?
- Does Microsoft Azure or Google Vertex AI keep my data?
- Is my data used to train AI models?
Here's how Appspace AI manages your information today:
- Temporary session cache — AI conversations are cached for up to one hour to maintain context during an active conversation.
- Context-aware conversations — The temporary cache allows the AI Assistant to remember earlier messages and provide more relevant responses within the same session.
- Automatic deletion — Cached session data is automatically deleted after the one-hour cache expires.
- No permanent history — Appspace does not maintain long-term prompt or conversation history by default.
- Customer-controlled data — Customer content remains within your Appspace environment.
- No AI training — Prompts, responses, and customer content are never used to train public or proprietary AI models.
How AI Requests Are Processed
Appspace processes AI requests using enterprise AI services from Microsoft Azure and Google Vertex AI. These providers act solely as secure AI processing services.
When you submit an AI request:
- Your prompt is securely processed to generate an AI response.
- Temporary session context is maintained for up to one hour so the conversation remains contextual.
- After the session expires, the cached conversation is automatically deleted.
- Neither Appspace nor its AI infrastructure providers use customer prompts, responses, or content to train or improve AI models.
Troubleshooting
I can't find my previous AI conversations.
Cause
Conversation history is only maintained temporarily during an active session.
Solution
This is expected behavior. Session context is cached for up to one hour to support the conversation and is automatically deleted after the cache expires.
I'm concerned my organization's data is being used to train AI models.
Cause
Customer content is processed only to generate AI responses.
Solution
Appspace, Microsoft Azure, and Google Vertex AI do not use customer prompts, inputs, or outputs to train or improve AI models.
Can Appspace administrators review my AI conversations?
Cause
Organizations often want visibility into AI adoption while protecting user privacy.
Solution
Administrators can view only anonymized, aggregated feedback generated through the thumbs up and thumbs down rating system. Individual prompts, responses, and conversation content are not included.
Analytics and Feedback
Appspace collects anonymized, aggregated analytics to help organizations understand AI adoption and improve response quality.
This telemetry may include:
- Overall usage trends
- Aggregate response quality metrics
- Thumbs up and thumbs down feedback
It does not include:
- Individual prompts
- AI-generated responses
- Conversation content
- User-specific AI sessions
Coming Soon: Optional Cross-Session Memory
A future Appspace release will introduce an optional Cross-Session Memory capability for AI Assistants.
When available:
- Organizations will be able to enable or disable the feature.
- Cross-session memory will be stored within the customer's Appspace environment alongside other customer-managed data.
- Customers will control how the feature is used.
- Session memory will never be stored by Appspace outside the customer's environment.
- Session memory will never be used by Appspace, Microsoft Azure, or Google Vertex AI to train AI models.
