We are considering using kiosks for our employees to book desks when they come to the office. The only information I can find on this deals primarily with Visitor management. Has anyone used kiosks in this manner and is there any documentation on configuration and setup that applies just to employees and organizations who use SSO?

Yes, this can be configured for employee desk, room, or resource booking through a kiosk experience without requiring Visitor Management.

With Appspace, employees can use the Employee View on a touch-screen device (kiosk) to browse availability and make bookings. When a reservation is created, it is made under the account of the employee who is signed in at the time of booking, so the reservation is associated with their name and account.

How it works on the kiosk:

  • Employees access the Employee View on the kiosk to browse available desks, rooms, or other resources.
  • When they make a booking, the organizer automatically defaults to the user account that is signed in.
  • If you're using the Room Booking Card or Desk Booking Card, the kiosk can prompt for a user email address (the booking account email) to retrieve the available resources list.
  • This email/sign-in process is how the system identifies which employee account should own the reservation.

The key requirement is that the employee must either sign in or enter their email address on the kiosk before booking so the reservation is properly tied to their account.
