(New) The Trash feature provides a recovery period for supported Intranet content that has been deleted from Appspace. Instead of being permanently deleted immediately, supported content is moved to Trash for 14 days, where users with the appropriate permissions can review and restore it.

Content in Trash is removed from active publishing surfaces and remains read-only until it is restored or permanently deleted. If no action is taken, Appspace automatically permanently deletes the content when the 14-day recovery period expires.

Supported content includes:

  • Pages

  • Stories

  • Posts

  • Polls

  • Praises

  • Event posts

Prerequisites

Before managing deleted content, ensure that:

  • You have access to Posts Management in the Appspace console.

  • You have the appropriate content-management permissions for the content you want to view or restore.

  • You are an administrator if you need to permanently delete content or review Trash activity.

Delete and Restore Posts

Selecting Delete moves supported Intranet content to Trash instead of permanently deleting it immediately.

Deleted content is removed from active feeds, spaces, search results, widgets, pinned content, and other published surfaces while it remains in Trash. The content can be restored during the 14-day recovery period before it is automatically permanently deleted.

When content is restored, Appspace returns it to its previous state where possible and preserves its associated content and settings, including comments, reactions, permissions, tags, translations, and other supported engagement data.

Note: Scheduled content does not publish while it is in Trash. If it is restored before its scheduled publication time, its original schedule is retained. If the scheduled time has already passed, the content is restored as a draft.

Manage Deleted Content in Trash

The Trash view in Posts Management displays supported Intranet content that has been deleted and is still within its recovery period.

To view and manage deleted content:

  1. Log in to the Appspace console.

  2. Click the ☰ Appspace menu, and select Posts.

  3. Select Trash.

  4. Review the deleted content. Each item displays:

    • Title

    • Type

    • Original Location

    • Deleted

    • Deleted By

    • Days Until Purge

  5. To locate specific content:

    • Enter part of its title in the search field.

    • Filter the list by Type, Deleted By, Deleted Date, or Original Location.

  6. Select an item to preview it. Content in Trash is read-only and cannot be edited, published, retagged, reassigned to another space, or have its author changed.

  7. Select Restore to return the item from Trash.

  8. Administrators can select Permanently Delete to immediately and irreversibly remove the item.

Important: Content that is not manually permanently deleted is automatically removed when its 14-day recovery period expires. Permanently deleted content cannot be restored.

Restore Multiple Items

You can restore multiple items from Trash in a single action.

  1. In Posts > Trash, select the items you want to restore.

  2. Select Restore from the multi-select toolbar.

  3. Review the number of selected items in the confirmation dialog.

  4. Select Restore to continue.

Appspace restores each item that can be restored and returns it to its previous state where possible.

Administrators can also select multiple items and use Permanently Delete to remove them immediately.

Restore Content from a Deleted Space

If content was published only to a space that has been deleted, the content is moved to Trash when the space is deleted.

When this content is restored, it is returned as a draft with no publishing space assigned. Edit the restored draft, select a new publishing location, and publish it when ready.

Content that was published to multiple spaces is not moved to Trash when one of those spaces is deleted. It remains published to its other available spaces.

Note: The deleted space itself is not moved to Trash and cannot be restored from the Trash view.

Trash Permissions

Access to Trash depends on the user's content-management permissions.

  • Administrators can view and restore all supported trashed content in the account and can permanently delete content.

  • Content managers can view and restore trashed content only from spaces that they have permission to edit.

  • Content managers cannot permanently delete content.

  • Users without the required content-management permissions cannot access trashed content.

If a user without restore permission attempts to open trashed content through a direct link, the content is not displayed.

Understand the Trash Recovery Period

Content remains in Trash for 14 days from the time it is deleted.

The Days Until Purge column indicates how much time remains before an item is automatically permanently deleted. Each item has its own recovery period based on when it was moved to Trash.

Restoring an item removes it from Trash and prevents the scheduled purge.

If the recovery period expires, Appspace permanently deletes the content automatically and it can no longer be restored.

Review Trash Activity

Administrators can review lifecycle activity for deleted content to determine who performed an action and when it occurred.

Trash lifecycle history records the following actions:

  • Move to Trash

  • Restore

  • Permanently delete

  • Automatic purge

The history identifies the affected content, content type, user who performed the action, date and time, original location, and action. Automatic purge activity is attributed to the system.

Administrators can filter and page through this history and export the filtered results for external review.

Trash audit records contain lifecycle identifiers and action information only; they do not retain the deleted Page, Story, or post body as part of the audit entry.
