Learn how to create a recurring event in Appspace Employee View. Communicators use this article to publish a repeating Event post, and employees use it to respond or add the event to a calendar. After you finish, you can set the repeat rule, update or delete part of the series, send an RSVP, and download a calendar file.

For: Communicators — Recurring Event Posts

Note: Who this article is for: Communicators and Employees. Create, edit, and delete steps require permission to publish an Event post. RSVP and Add to Calendar steps are for anyone who can open the event.

Prerequisites

  • An Account Owner, Publisher, or Author role with permission to publish to a channel.

  • A Premium user license, so you can open Employee View.

  • The event date and start time. The repeat suggestions use that date.

Create a Recurring Event

  1. Log in to Appspace.

  2. Open Employee View.

  3. On Home, select What do you want to share?

  4. Select Event Post.

  5. Enter the event title.

  6. Set the event date.

  7. Set the start time.

  8. Set the duration.

  9. Select Show More.

  10. Select the repeat menu that shows Does not repeat.

Note: You can also open More, select Events, and select Create. On a phone, the repeat menu title is Repeats.

The menu includes these options:

  • Does not repeat.

  • Every weekday, when the event starts Monday through Friday.

  • Every weekend, when the event starts on Saturday or Sunday.

  • Weekly on the start weekday.

  • Monthly on the start weekday.

  • Custom…

  1. Select a suggested repeat option.

  2. Select Post.

The event is published. Each occurrence appears as its own event, and the event card shows the repeat summary.

Note: Each occurrence uses the All Day setting and the Timezone on the event. When you change the start date, the repeat suggestions update to that date.

Set a Custom Recurrence

Use a custom rule when the suggested options do not match the series. Complete these steps before you select Post.

  1. Select Custom…

  2. Enter a number greater than 0 under Repeats every.

  3. Select Day, Week, or Month.

  4. Select one or more days under Repeats on when the unit is Week.

  5. Select the day of the month or the weekday of the month when the unit is Month.

  6. Select After or On under Ends.

  7. Enter the number of occurrences for After, or choose the end date for On.

  8. Select Save.

The repeat menu closes, and the repeat field shows your rule.

Note: Week is selected by default. After is selected by default and starts at 12 occurrences. A Day repeat has no Repeats on choice. The series ends within one year of the first occurrence. A daily series allows up to 365 occurrences, a weekly series up to 52, and a monthly series up to 12. For Every weekday, the last occurrence still falls within that year.

Edit a Recurring Event

  1. Open the event in Employee View.

  2. Select the occurrence you want to change.

  3. Select Coming up when you need a later occurrence.

  4. Select Edit from the … menu.

  5. Change the details for that occurrence.

  6. Select Save.

  7. In Edit Recurring Event, select This event, This and following events, or All events.

  8. Select Confirm.

One occurrence shows Your event was successfully updated. This and following events and All events show Your events were successfully updated.

Note: On the first occurrence, This and following events is hidden. This and following events and All events replace later occurrences, including occurrences you already changed. This event changes only the selected occurrence, and that occurrence stays in the series. Only the fields you change are updated. To switch occurrences without closing the editor, use the occurrence menu at the top of the editor.

Delete a Recurring Event

  1. Open the event, or open the Events list.

  2. Select the occurrence you want to remove when you are on the event.

  3. Select Delete from the … menu.

  4. In Delete Recurring Event, select This event, This and following events, or All events.

  5. Select Delete.

You return to the Events list. One occurrence shows Your event was successfully deleted. This and following events and All events show Your events were successfully deleted.

Note: The dialog states This action is permanent and cannot be undone. On the first occurrence, This and following events is hidden.

Respond to a Recurring Event

  1. Open the event.

  2. Select Attend, Decline, or Withdraw.

  3. In RSVP to Recurring Event, select This event, This and following events, or All events.

  4. Select Confirm.

The event shows your response for the scope you selected.

Note: Attend, Decline, and Withdraw appear when the event requires an RSVP. On the first occurrence, This and following events is hidden.

Add a Recurring Event to a Calendar

  1. Open the event.

  2. Select the occurrence you want to add.

  3. Select Coming up when you need a later occurrence.

  4. Select Add to Calendar.

  5. Select This event, This and following events, or All events.

  6. Select Confirm.

Your browser downloads a calendar file. This event is the occurrence you are viewing. This and following events starts at that occurrence and includes every later one. All events is the series file, and it includes the repeat rule.

Note: On the first occurrence, This and following events is hidden. Add to Calendar remains available when you view a later occurrence. The All events file keeps the repeat rule from when you created the series. A later edit to one occurrence stays on that occurrence.
