Appspace’s new Posts Management module streamlines content management by offering a unified platform for all post types, from Stories and Pages to User Posts, Questions, Polls, and Praises. It features an intuitive interface that simplifies CRUD operations, which stands for Create, Read, Update, and Delete. This means administrators can easily create new posts, read and review existing ones, update content as needed, and delete outdated or irrelevant posts. With advanced filtering options, finding and managing specific content becomes a breeze. This centralized approach, coupled with efficient moderation tools, empowers administrators to maintain high-quality content that aligns with community guidelines and brand standards, ultimately enhancing productivity and user experience.

This article provides administrators with the instructions to create and manage posts in the Posts Management module.

Delete and restore posts
(New) Selecting Delete moves supported Intranet content to Trash instead of permanently deleting it immediately. Supported content includes pages, stories, posts, polls, praises, and event posts.
Deleted content is removed from active feeds, spaces, search results, widgets, pinned content, and other published surfaces while it remains in Trash. The content can be restored during the 14-day recovery period before it is automatically permanently deleted.
When content is restored, Appspace returns it to its previous state where possible and preserves its associated content and settings, including comments, reactions, permissions, tags, translations, and other supported engagement data.
Note: Scheduled content does not publish while it is in Trash. If it is restored before its scheduled publication time, its original schedule is retained. If the scheduled time has already passed, the content is restored as a draft.
Bulk Update Posts
Besides editing single posts, you can also select multiple posts from the Posts dashboard and update them at the same time.
- Log in to your Appspace console.
- Click the ☰ Appspace menu, and select Posts.
- On the Posts dashboard, select the checkbox for each post that you want to update. The multi-select toolbar appears when multiple posts are selected. Only actions that apply to every selected post type are available. Edit-dependent actions are hidden when you do not have edit access to the selected content.

- From the multi-select toolbar, select one of the following actions:
-
Feature/Unfeature – Mark the selected posts as featured or remove their featured status.
-
Unpublish – Return the selected published posts to Draft status. The posts remain available for editing.
-
Reschedule – Set or update the publication date and time for the selected posts.
-
Update Tags – Add tags to the selected posts or replace their existing tags.
-
Update Spaces – Add the selected posts to Spaces, remove them from Spaces, or replace their existing Space assignments.
-
Change Author – Assign a different author to the selected posts. Secondary authors are included when applicable.
-
Archive – Remove the selected posts from active post listings while preserving them for later access.
-
Delete – Move the selected supported Intranet content to Trash. Content in Trash is removed from active publishing surfaces and can be restored during the 14-day recovery period before it is automatically permanently deleted. (New)
-
-
In the action window, configure the required settings.
-
Review the selected action and settings, and click Save or Confirm to apply the changes.
-
Review the progress and results displayed for the selected posts. The results identify which posts were updated successfully and which posts could not be updated.
Manage Deleted Content in Trash
(New) The Trash view in Posts Management contains supported Intranet content that has been deleted and is still within its recovery period.
To view and manage deleted content:
- Log in to the Appspace console.
- Click the ☰ Appspace menu, and select Posts.
- Select Trash.
- Review the deleted content. Each item displays:
- Title
- Type
- Original Location
- Deleted
- Deleted By
- Days Until Purge
- To locate specific content, enter part of its title in the search field or filter the list by:
- Type
- Deleted By
- Deleted Date
- Original Location
- Select an item to preview it. Content in Trash is read-only and cannot be edited, published, retagged, reassigned to another space, or have its author changed.
- Select Restore to return the item from Trash.
- Account administrators may instead select Permanently Delete to remove the item immediately.
You can also select multiple items and use the multi-select toolbar to restore them together. Account administrators can permanently delete multiple selected items.
Important: Permanently deleting content cannot be undone. Content that is not manually permanently deleted is automatically removed when its 14-day recovery period expires.
Trash Permissions
Access to Trash depends on the user's content permissions.
- Administrators can view and restore all supported trashed content in the account and can permanently delete content.
- Content managers can view and restore trashed content only from spaces that they have permission to edit.
- Content managers cannot permanently delete content.
- Users without the required content-management permissions cannot access trashed content.
If a user without restore permission attempts to open trashed content through a direct link, the content is not displayed.
Review Trash Activity
Administrators can review lifecycle activity for deleted content to determine who performed an action and when it occurred.
Trash lifecycle history records the following actions:
- Move to Trash
- Restore
- Permanently delete
- Automatic purge
The history identifies the affected content, content type, user who performed the action, date and time, original location, and action. Automatic purge activity is attributed to the system.
Administrators can filter and page through this history and export the filtered results for external review.
Trash audit records contain lifecycle identifiers and action information only; they do not retain the deleted Page, Story, or post body as part of the audit entry.
