Learn how to manage Space Templates in Appspace. This article is for IT Administrators who maintain the template library and the Space Types used to create intranet Spaces. After you finish, you can create a template, export or disable one, and add a custom Space Type.

For: IT Administrators — Space Template Library

Prerequisites

  • Account Owner access to the Appspace console. Publishers can create Spaces when that permission is delegated in Spaces settings.

  • Access to Spaces in the Appspace menu.

Open Space Templates

  1. Log in to the Appspace console.

  2. Click the Appspace menu and select Spaces.

  3. Click Settings.

  4. Click Space Templates.

Spaces settings also includes General, Permissions, Space Types, and File Types. The template list includes a Creator column. Built-in templates are system templates.

Create a Space Template

  1. On the Space Templates page, click Create.

  2. Enter a Name that describes the intended use, such as Employee Onboarding or Regional Workspace. Create stays unavailable until you enter a name.

  3. Check Type. A type is already selected. Choose a different type when this template needs one. Add a custom type first when none of the current types fit.

  4. Click Create.

The template appears in the Space Templates list. The type field is required. The form does not offer an empty type choice.

Create is a split button. Use that control when you need to import a template package. A package is a .zip file of up to 10 MB, and import is limited to an administrator. When the package names a Space Type this account does not have, Appspace creates that type for the account. An existing type with the same id is left unchanged. Importing the same package again creates another template.

Manage a Template

Open the actions menu (⋯) on a template row.

  • Create Space starts a Space from that template. See Create a Space from a Template.

  • Edit opens the space editor for the template. The editor shows the tabs that apply to a template.

  • Export downloads the template as a .zip package. Account-specific permissions and publishing targets are not included in the package.

  • Disable or Enable applies to both company templates and system templates. A disabled system template is hidden from the Create Space picker for this account.

  • Delete removes a company template. You cannot delete a system template.

Save a Space as a Template

A location publisher, or a higher role, can save an existing Space as a template from the sitemap row menu or from the menu in the space editor.

Manage Space Types

Space types help you organize spaces by grouping similar ones together, making them easier to find, manage, and navigate. Appspace includes built-in types. Add a custom type when those types do not cover the job.

  1. In Spaces settings, click Space Types.

  2. Click Add.

  3. Enter the type name.

  4. Save the type.

The type appears in the Space Types list. The list columns are Name, Creator, Modified, and Actions. Built-in types show System as the creator.

On a system type, the actions menu offers Disable only. You cannot rename or delete a system type. On a custom type, the menu offers Edit, Disable, and Delete.

Built-in types are Topic, Site, Project, Newsroom, Community, and Blog.
