Configure Restriction Profiles in Appspace to control which communication features selected audiences, groups, and locations can use. This article is for IT administrators who manage Employee Experience settings. These steps cover how to create a restriction profile, assign it, and turn it on or off.

What’s in this article:
Important: Restrictions take precedence over standard space or channel permissions. Restricted users can continue viewing content unless another permission prevents access. Restriction profiles use predefined Appspace capabilities. The following are not supported:

Time-based or scheduled restrictions

Restriction inheritance across organizational hierarchies

Bulk import or export of restriction assignments through CSV
After a restriction profile is assigned or updated, affected users must log out and log back in before the restrictions take effect.
Prerequisites

Administrator permissions to access Employee Experience settings.

Audiences, user groups, or locations must already exist before they can be assigned to a restriction profile.
Create a Restriction Profile

Log in to the Appspace console.

Click the ☰ Appspace menu, and then click Settings.

Click the Employee Experience tab.

In the left navigation menu, click Restriction Profiles.
The Restriction Profiles page displays existing profiles. The list includes Name, Restrictions, Apply to, Status, and Updated. Use the Search field to locate an existing restriction profile. If no profiles have been created, the page displays No restriction profiles yet.

Click Create.
The Create Restriction page opens. It contains General, Restrictions, and Users.

In the Name field, enter a descriptive name for the restriction profile. For example:

Read Only Users
-
Contractor Restrictions
-
Limited Contributors
-

In the Description field, enter a description that explains the purpose of the profile.

In the Apply to field, search for and select one or more audiences, groups, or locations.
Multiple assignments can be added to the same restriction profile.

Click Restrictions, and then select one of the following:

Custom Restrictions — Restrict selected capabilities individually.

Restrict All — Place affected users in a read-only state and prevent supported engagement actions.

For Custom Restrictions, configure the required options:

Create — Select Restrict all to restrict supported content creation, or select individual options:

Restrict creating pages

Restrict creating stories
-
Restrict creating polls
-
Restrict creating events
-
Restrict creating questions
-
Restrict creating praise
-

Comments — Select Restrict all, or select Restrict reading comments or Restrict creating comments.

Reactions — Select Restrict all, or select Restrict viewing reactions or Restrict creating reactions.

Respond to Polls — Select Restrict responding to polls.

Attachments — Select Restrict to prevent users from uploading attachments to posts.

Share — Select Restrict to prevent users from sharing content to channels or groups.

Click Users to review the users affected by the restriction profile.
The page displays the total number of affected users. Review the list by the configured assignment, such as a location. The list includes Name, Restriction Profile, and Status.

Click Save to create the restriction profile.
Affected users must log out and log back in before the restrictions take effect.

Click Cancel to discard the configuration without saving.
Leaving the page with unsaved changes prompts a confirmation before the configuration is discarded.
Manage Restriction Profiles
Use the Restriction Profiles page to edit a profile, turn it on or off, or delete it.

Log in to the Appspace console.

Click the ☰ Appspace menu, and then click Settings.

Click the Employee Experience tab.

In the left navigation menu, click Restriction Profiles.

Locate the restriction profile to manage.

Click the ellipsis (•••) menu on the restriction profile.

Select one of the following options:

Edit — Opens the restriction profile. Update the General settings, restrictions, or assignments, and then click Save.

Disable — Stops an active restriction profile from applying its restrictions. The Status column shows Disabled.

Enable — Activates a disabled restriction profile. The Status column shows Active.

Delete — Deletes the selected restriction profile.
