Update device settings, assign room resources, and organize screens with prompts.

Managing multiple screens often means repeating the same changes across devices. The Appspace Device Management Assistant lets you describe a task in plain language and apply changes to multiple devices in one conversation.

Use this article as a quick reference for five practical tasks. Then watch the walkthrough to see how requests, clarification questions, and confirmations work in the console.

Watch the Walkthrough

This 4 minute video demonstrates device properties, reservation resources, operating hours, device groups, and tags. Use the examples below to plan your own requests.

Open the Assistant

The Device Management Assistant is available to Account Owners and Location Admins on Appspace Platform 2603.4.0 or later.

  1. If Appspace Intelligence has not been configured, ask your Account Owner or Portal Administrator to open Settings > Configuration > Appspace Intelligence, review and accept the Appspace Intelligence Agreement, and configure access under Assistants.
  2. Open Devices > All Devices.
  3. Select the assistant chat launcher and enter your request.

Before applying a change: Review the confirmation summary for the correct devices, locations, and settings. Answer any clarification questions, then confirm. Check the result for successful and failed updates.

Five Tasks to Try

The sample prompts are starting points. Replace the example names and schedules with your own.

1. Apply Device Properties to a Specific Set of Screens

The walkthrough shows how a request can target device types and apply a property across the matching devices. Define the location, device types, exact property name, and required value so the intended change is clear.

Prompt pattern: In the Missouri location, set the following supported device property on BrightSign and Windows devices: property name: INSERT_VERIFIED_PROPERTY_NAME; value: INSERT_VERIFIED_VALUE.

Use a property and value verified for your device types. In the video, a follow-up was needed to include Windows devices — check that every requested device type appears in the summary.

2. Assign Room Resources to Multiple Panels

For room or scheduling panels, prepare a spreadsheet that pairs each device with its reservation resource. As shown in the video, you can paste the mapping into the conversation and ask the assistant to apply the assignments.

Try: Assign the reservation resources to the devices using the mapping below. The devices and resources are in the Missouri location, second floor.

Include the device name, resource name, location, and floor in your mapping. If rooms share a name, clarify which floor or location you mean before confirming.

3. Set Operating Hours by Location

Describe the schedule for a location or named set of devices. Include each day range and explicit AM or PM times.

Try: Set operating hours for all devices in the Missouri location to Monday through Friday, 7:00 AM to 10:00 PM, and Saturday and Sunday, 12:00 PM to 5:00 PM.

Review the days and times in the summary before applying the schedule.

4. Add Devices to an Existing Device Group

Use a request to organize several devices into a device group without updating each device individually.

Try: Add Lobby Display 1 and Lobby Display 2 in the Missouri location to the existing Reception Displays device group.

The device group must already exist. Confirm that the assistant matched the intended group.

5. Add Tags in Bulk

Apply tags to devices by device type, location, sub-location, or a specific list. This helps keep device organization consistent as your deployment grows.

Try: Add the Lobby tag to all BrightSign devices in the Missouri location, first floor.

Check the selected devices before confirming, especially when the request covers an entire location.

Make Your Next Prompt More Precise

  • Name the action: Say what you want to add, assign, or change.
  • Define the scope: Include device names, device types, groups, locations, or floors.
  • Provide exact values: Use complete resource names, verified properties, and explicit times.
  • Review the outcome: Resolve ambiguous matches and check for missed or failed updates.

In the walkthrough, you can also see how conversation history and pinned prompts help you return to earlier requests. Review the scope and values again whenever you reuse a prompt.
